These Terms and Conditions ("Terms") constitute a legally binding agreement between you ("User") and guidix.ai, governing your access to and use of the guidix.ai platform, including all associated tools, features, dashboards, and services (collectively, the "Platform"). By registering, accessing, or using the Platform in any manner, you acknowledge that you have read, understood, and agree to be bound by these Terms in their entirety.

The Platform is made available to two primary categories of users: (a) students enrolled in partnered educational institutions who use the Platform for career preparation, resume building, job matching, and placement readiness; and (b) college placement offices and institutional administrators who access the Platform to manage, monitor, and support student placement activities. These Terms apply equally to both categories unless otherwise specified.

1. Eligibility and Account Registration

Access to the Platform is granted exclusively to individuals and institutions that have been registered through an authorised onboarding process. Students must be enrolled at a partnered institution and may only access the Platform upon invitation or bulk registration facilitated by their respective placement office. Institutional users must hold an authorised administrative role and complete verification as required by guidix.ai.

  • You must provide accurate, complete, and current information during registration and maintain the accuracy of such information throughout your use of the Platform.
  • You are solely responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account.
  • guidix.ai reserves the right to suspend or terminate any account found to be in violation of these Terms, without prior notice, at its sole discretion.
  • Accounts are non-transferable and may not be shared with third parties under any circumstances.

2. Permitted Use and Restrictions

The Platform is intended solely for lawful career and placement-related activities. Users are expressly prohibited from using the Platform to engage in any activity that is unlawful, deceptive, harmful, or violates the rights of any third party. Institutional administrators may only access student data to the extent necessary for legitimate placement management purposes, and must handle such data in accordance with applicable data protection laws and guidix.ai's Privacy Policy.

3. Intellectual Property

All content, technology, algorithms, designs, trademarks, and materials made available through the Platform are the exclusive intellectual property of guidix.ai or its licensors. No portion of the Platform may be reproduced, distributed, reverse-engineered, or used for commercial purposes without the prior written consent of guidix.ai. User-generated content such as resumes, application data, and interview responses remain the property of the respective user, subject to the licence granted to guidix.ai under these Terms.

4. Limitation of Liability

guidix.ai provides the Platform on an "as is" and "as available" basis. While we endeavour to ensure the accuracy and reliability of AI-generated recommendations, job matches, and resume outputs, we make no warranties — express or implied — regarding the suitability, completeness, or fitness for purpose of any such outputs. guidix.ai shall not be liable for any direct, indirect, incidental, or consequential damages arising from your reliance on Platform outputs, including but not limited to unsuccessful job applications or placement outcomes.

Privacy policy

guidix.ai is committed to protecting the privacy and personal data of all users who interact with the guidix.ai Platform. This Privacy Policy explains what personal data we collect, why we collect it, how it is processed and stored, and the rights available to you in relation to your data. By using the Platform, you consent to the data practices described herein.

This Policy applies to students accessing career tools and placement features, as well as to college placement offices and institutional administrators using the administrative dashboard. Where data is collected from students by a partnered institution for upload to the Platform, the institution bears co-responsibility for ensuring that appropriate consent has been obtained prior to such upload.

1. Data We Collect

  • Student Users: Full name, email address, phone number, educational qualifications, batch and year details, resume content, skill information, LinkedIn profile data, job application history, mock interview responses, and platform activity logs.
  • Institutional Administrators: Name, institutional email address, designation, institution name and accreditation details, and administrative activity logs.
  • Automatically Collected Data: IP address, device type, browser information, usage patterns, and session data collected through cookies and similar technologies.
  • Third-Party Integrations: Where users connect external accounts (e.g., LinkedIn), we may receive profile data subject to the permissions granted by that platform.

2. How We Use Your Data

Personal data is used exclusively for the purposes of delivering the Platform's core services, which include AI-powered resume building, personalised job matching, mock interview preparation, career coaching, and institutional placement dashboards. We do not sell personal data to third parties. Data may be shared with recruiters only in the form of prepared, anonymised candidate profiles unless the student explicitly consents to full profile disclosure.

Your placement readiness data, interview scores, and application activity are visible to authorised personnel at your registered institution solely for placement support purposes. Students may request a summary of shared data at any time by contacting info@guidix.ai.

3. Data Retention and Deletion

Student data is retained for the duration of the student's active enrolment at a partnered institution and for a period of up to 24 months thereafter, to facilitate alumni placement tracking where applicable. Institutional data is retained for the duration of the active subscription agreement. Users may request deletion of their personal data by submitting a written request to info@guidix.ai, subject to any legal obligations that require us to retain certain records.

Security policy

guidix.ai takes the security of user data, institutional information, and Platform infrastructure with the utmost seriousness. This Security Policy outlines the technical and organisational measures we implement to protect all data processed through the guidix.ai Platform, and the responsibilities of users in maintaining a secure environment.

Given that the Platform processes sensitive personal data including student profiles, placement outcomes, and institutional records, guidix.ai maintains robust security practices aligned with industry standards and applicable data protection regulations, including the Information Technology Act, 2000 and the Digital Personal Data Protection Act, 2023 (India).

1. Technical Security Measures

  • Data Encryption: All data transmitted between users and our servers is encrypted using TLS 1.2 or higher. Sensitive data at rest, including student profiles and placement records, is encrypted using AES-256 encryption standards.
  • Access Control: Role-based access controls are strictly enforced. Institutional administrators can only access student data within their registered institution. Student users cannot access data belonging to other students or institutions.
  • Authentication: The Platform enforces secure authentication protocols including password complexity requirements, session timeouts, and support for multi-factor authentication for institutional administrator accounts.
  • Regular Security Audits: guidix.ai conducts periodic vulnerability assessments, penetration testing, and security reviews of its infrastructure to identify and remediate potential risks on a proactive basis.

2. Incident Response

In the event of a data security incident that may affect user data, guidix.ai will notify affected users and, where applicable, relevant regulatory authorities within the timelines required by law. Affected institutional partners will be notified through their registered administrator contact, and remediation steps will be communicated promptly. Users are encouraged to report any suspected security vulnerabilities or unauthorised access to info@guidix.ai immediately.

3. User Responsibilities

Users bear responsibility for maintaining the security of their own account credentials. Institutional administrators must ensure that Platform access is restricted to authorised personnel only, and must promptly deactivate accounts of staff who no longer require access. Any suspected compromise of an account must be reported to guidix.ai without delay.

Anti-spam policy

guidix.ai is firmly committed to ensuring that all communications sent through or in connection with the guidix.ai Platform comply with applicable anti-spam laws and regulations, including the Telecom Commercial Communications Customer Preference Regulations and the Information Technology Act, 2000. This Anti-Spam Policy governs all electronic communications initiated by guidix.ai, as well as the conduct of institutional users and students who use the Platform's communication features.

Spam — defined as unsolicited, bulk, or irrelevant electronic communications — undermines trust and degrades the user experience. guidix.ai does not engage in spam practices and will not permit its Platform to be used as a vehicle for the distribution of unsolicited communications.

1. Communications from guidix.ai

  • All marketing and promotional emails sent by guidix.ai will include a clear and functional unsubscribe mechanism. Users may opt out of non-transactional communications at any time.
  • Transactional communications — including account verification, placement alerts, interview reminders, and security notifications — are considered essential to the functioning of the Platform and may be sent regardless of marketing preferences.
  • guidix.ai will not sell, rent, or share user contact information with third parties for the purpose of unsolicited marketing.
  • All email communications from guidix.ai will clearly identify the sender, include a valid physical address, and comply with applicable sender identification requirements.

2. Institutional User Obligations

Institutional administrators who use Platform features to communicate with students — including bulk notifications, placement updates, and task reminders — must ensure that all such communications are relevant, timely, and directed only at students within their registered cohort. Misuse of the Platform's communication tools to send irrelevant, excessive, or unsolicited messages is a violation of these Terms and may result in suspension of institutional access.

3. Reporting Spam

If you receive any communication that you believe violates this Anti-Spam Policy, or that appears to have been sent fraudulently using the guidix.ai name or branding, please report it immediately to info@guidix.ai. We take all reports seriously and will investigate promptly. Users who are found to have used the Platform in violation of this Policy will have their access suspended or permanently revoked.

Community guidelines

The guidix.ai Platform brings together students, placement officers, and institutional administrators within a shared digital environment focused on career development and placement success. These Community Guidelines establish the standards of conduct expected of all users to ensure that the Platform remains a professional, respectful, and productive space for everyone.

By using the Platform, all users agree to engage with each other and with Platform features in a manner that is ethical, honest, and consistent with the professional standards expected in an academic and career-oriented environment. Violations of these Guidelines may result in suspension or permanent termination of access, and may be referred to the relevant institution or, where appropriate, law enforcement authorities.

1. Professional Conduct

  • All users must interact respectfully with other users, institutional staff, and guidix.ai personnel. Harassment, intimidation, discriminatory language, or abusive conduct of any kind will not be tolerated.
  • Students are expected to represent their qualifications, experiences, and skills honestly and accurately on resumes, profiles, and in mock interview sessions. Misrepresentation of credentials is a serious violation of these Guidelines.
  • Placement officers and institutional administrators must exercise their access to student data responsibly and solely for the purpose of supporting placement activities within their institution.
  • Users must not attempt to access, manipulate, or extract data belonging to other users or institutions, whether through technical means or otherwise.

2. Content Standards

Any content submitted to the Platform — including resume content, career goals, interview responses, and feedback — must be lawful, accurate, and free from offensive, discriminatory, or harmful material. Content that promotes illegal activity, contains personal attacks, or violates the intellectual property rights of third parties is strictly prohibited and will be removed without notice.

3. Enforcement and Appeals

guidix.ai reserves the right to review, remove, or restrict content and user access where a violation of these Community Guidelines is suspected or confirmed. Users who believe their account has been suspended or content removed in error may submit a written appeal to info@guidix.ai within 14 days of the action taken. guidix.ai will review all appeals in good faith and communicate its decision within a reasonable timeframe.
